Gallery Manager — Role & Responsibilities

Scheduling & Staffing

  • Set gallery hours in consultation with Archie and Elaine; post any changes online promptly.
  • Schedule all attendants, including the student position, ensuring every open hour is covered.
  • Refer to the staffing spreadsheet to track and coordinate shifts.
  • Stay informed about events at the hall and confirm whether the Alliance is participating.
  • Come in at least once a week to check on things or cover a shift.

Staff Support & Training

  • Help train the student attendant and all gallery volunteers in gallery procedures and expectations.
  • Ensure all staff and volunteers represent the Alliance professionally and treat artists’ work with respect.
  • Serve as a primary point of contact for staff if they encounter any difficulties.

Artwork Intake

  • Require each artist to provide a numbered inventory list when delivering work. Each entry must include: title, description, dimensions, medium, price, and contact information.
  • File all inventory lists in the binder kept at the gallery.
  • Verify that all work has proper hanging hardware. The preferred system is wire affixed to two hooks — nothing flimsy.
  • Have each artist sign the damage waiver before work is accepted.
  • Coordinate and document any artist-initiated work swaps.
  • Complete an incident report if damage to any work occurs.
Note: Hanging hardware specifications are still being finalized. Confirm details with Archie before communicating requirements to new artists.

Cash & Sales

  • Upon arrival, count the cash float ($100) and notify Archie if a bank deposit is needed.
  • Become familiar with the Square point-of-sale system.
  • Submit a brief daily tally report at the end of each shift.
  • Maintain an ongoing understanding of sales trends — which artists and works are selling over time.

Gallery Presentation

  • Ensure the display always looks well-curated and that the gallery is clean and welcoming.
  • Plan and execute special themed or rotating displays.
  • Research display equipment and furnishings as needed.
  • Maintain adequate supplies: stationery, cards, pamphlets, wrapping materials, and hardware.

Knowledge & Professional Development

  • Become knowledgeable about the work of all current exhibitors so you can speak about it confidently.
  • Learn about other Alliance members and artists working in the area.
  • Familiarize yourself with other art display venues and events in the region.
  • Expand your knowledge of display techniques and exhibit curation over time.
  • Contribute to developing gallery procedures and documentation as the role evolves.

Promotion & Community Outreach

  • Plan social media posts and reels — develop ideas for subjects, themes, and participants.
  • Place promotional materials at tourist bureaus, gift shops, and other community locations.
  • Spread the word about the Alliance and actively recruit new members.
  • Serve as a welcoming face and ambassador for the Richmond Artists Alliance.
